AMCP CONTRACTED MEETING/EVENT SPACE

Acceptance of Contract & General Rules: The Event Space Contract must be completed in its entirety and accompanied by 100% of the payment via credit card for the total booking fee before it will be processed or space assigned. All rights and privileges granted to the Participant hereunder are subject to and subordinated to a master lease between AMCP and the Orlando World Center Marriott, and the policies, rules, and regulations of the facility. This agreement provides a personal right to the Participant and creates no interest or estate in the facility or its equipment or facilities. Participant assumes all responsibility of its personnel, employees, contractors, servants, agents, and for all persons admitted to the area.

Rules & Regulations: Electrical, audio visual, custom furniture, and catering are the participant’s responsibility. Exhibit displays are not permitted in any meeting rooms.  Participants are not permitted to present any CME/CE educational symposia, sessions, or activities in the event space. 

Participant Loss: AMCP shall not be liable for the loss or disappearance, by theft or otherwise, of any object from Participant’s event space, except for such loss or disappearance as is due to intentional and tortious theft committed by the employees of AMCP.  Responsibility for the security of a Participant’s space, product, and property rests solely with the Participant.

Indemnification: Each Participant agrees to protect, indemnify and hold harmless the following parties (including but not limited to): AMCP, Orlando World Center Marriott, Freeman AV, and their officers, directors, agents, contractors, and employees from any and all claims, liability, damages or expenses asserted against them or incurred by them as a result of, or in connection with, any loss of or damage to property, or injury to persons resulting from, arising out of or in any way connected with the negligence, wrongful acts of or breach of contract by the Participant or its agents, servants or employees. Each party involved agrees to be responsible for any claims arising out of its own negligence or that of its employees, agents, or contractors.

Cancellation:  A full refund of meeting space fees will be issued  through Friday, September 1, 2023. After this date, no meeting space refunds of any kind will be issued. Questions regarding meeting space should be directed to meetings@amcp.org 

All hard-walled meeting rooms are located across from the Exhibit Hall entrance in the Cypress Alcoves at the Orlando Marriott World Center and are soundproof.

 

 

10x20 Private Hard Walled Meeting Room (full week)
• Access from Monday, Oct 16-Thursday, October 19 at Noon
• Set conference room style for (10) or in two rounds for (16)
• Company logo included on suite door (full branding at additional company cost)
• Ability to host Partnering meetings in the suite at any time during Nexus 2023
• Complimentary attendee info-only list (name, title, company, city, and state) provided after the early bird registration deadline.
COST: $14,000


10x10 Private Hard Walled Meeting Room (full week)
• Access from Monday, Oct 16-Thursday, October 19 at Noon
• Set conference room style for (8) or in one round for (8)
• Company logo included on suite door (full branding at additional company cost)
• Ability to host Partnering meetings in the suite at any time during Nexus 2023
• Complimentary attendee info-only list (name, title, company, city, and state) provided after early bird registration deadline.
COST: $12,000


Hard Walled Meeting Room per day
• Available 8am-5pm per selected day
• Set conference room style for (8) or in one round for (8)
• 22x28 sign with company logo outside of the suite
• Ability to host Partnering meetings in the suite on assigned dates.
COST: $4,500 per day for a 10x10 and $5,500 per day for a 10x20

Special event space
• Space assigned for one-time use based on size, durationn and preferences (examples: outdoor patios, ballrooms for a large reception, restaurant private dining areas).
• Available for special events and receptions hosted after official Nexus 2023 activities end for the day.
COST: $3,500

The requesting company agrees to use AMCP's approved AV service provider Freeman AV for audio-visual needs and the Orlando World Center Marriott team for catering needs. You will receive confirmation, your space assignment, and information on how to order catering and audio-visuals 3-5 days after your submission is received.

 


If you have selected the meeting space option, the meetings team will contact you for the date/s that you need your meeting space and your preferred meeting room set once your space has been approved. 
Please email meetings@amcp.org if you are an AMCP corporate member at the Caragon, Premier, or Mission levels eligible to use your complimentary meeting space at Nexus 2023.

AMCP’s approval of event space neither constitutes endorsement of that event nor warrants the effectiveness or quality of that event. AMCP reserves the right to refuse an event from any source or reject any proposed event that directly competes with AMCP or is not in keeping with AMCP standards.  The requesting company agrees to use AMCP's approved Audio Visual service provider Freeman AV for audio visual needs and the Orlando Marriott World Center team for catering needs.*
